How Far in Advance Should You Book a Marquee?
Booking timelines for weddings, parties and corporate events — and what happens if you leave it late.
Peak Season: May to September
The majority of UK weddings and outdoor events fall between May and September. Marquee suppliers carry a fixed number of structures, and popular types — sailcloth tents and tipis in particular — sell out fast. For a peak-season wedding, book 9 to 12 months ahead. Saturday dates in June, July and August go first, often before the previous summer is over.
Garden parties and milestone birthdays during peak season should be booked 6 to 9 months in advance. Even smaller structures (pagodas, single tipis) get committed early because suppliers prioritise multi-day wedding installations.
Off-Peak: October to April
Demand drops sharply outside summer. Three to six months' notice is usually enough for most marquee types. Winter weddings and bonfire-night parties can often be arranged with shorter lead times, and some suppliers offer off-peak discounts of 10–20%.
Heated marquees with solid flooring work year-round, but fewer suppliers offer winter-ready setups. If you need heating, hard walls and covered walkways, allow extra time to find the right company.
Corporate Events
Standard corporate marquees (product launches, awards dinners, exhibition space) can typically be arranged in 2 to 4 months. Larger builds — multi-room structures, branded interiors, complex AV setups — need 6 months or more. If your event falls during wedding season, add extra lead time.
Booking Timeline

| Months Before | Action |
|---|---|
| 12 | Research suppliers, compare quotes, choose your marquee type and reserve your date |
| 9 | Arrange a site visit with your supplier to assess access, ground conditions and power |
| 6 | Confirm extras: flooring, lighting, furniture, heating, toilets, generators |
| 3 | Finalise layout, seating plan, catering access points and any theming or decoration |
| 1 | Confirm access arrangements, delivery times, setup schedule and emergency contacts |
Why Peak Season Books Up
Around 60% of UK weddings take place between May and September. A typical marquee supplier owns 5 to 15 structures and each wedding ties one up for 3 to 5 days (delivery, setup, event, breakdown, collection). That limits most suppliers to one or two weddings per weekend. Once their stock is committed, the only option is a different supplier or a different date.
Sailcloth and tipi marquees are especially constrained. Fewer companies offer them, and each structure serves only one event at a time. If you want a specific style during summer, booking a year out is not unusual.
Last-Minute Bookings
Short-notice bookings are possible, particularly off-peak or for midweek events. Expect limited choice of structure type and size. Cancellations occasionally free up peak-season dates, so it's worth calling around even at short notice. Smaller structures — pagodas, single stretch tents — are more likely to be available than large wedding marquees.
What Affects Lead Time
Size of the event
Larger structures take longer to source, transport and install. A 200-guest marquee needs more planning than a 40-guest garden party tent.
Type of marquee
Sailcloth and tipi marquees have limited UK stock. Traditional pole and clearspan frames are more widely available and easier to book at shorter notice.
Location
Remote sites, islands and venues with poor access need more logistics planning. Suppliers may need to arrange crane access or specialist transport.
Time of year
May to September is peak demand. December and January are quietest. Shoulder months (April, October) vary by region and weather forecasts.
Deposits and Payment
Most suppliers require a deposit of 25–50% to secure your date. This is usually non-refundable if you cancel within a set period (often 8–12 weeks before the event). The remaining balance is typically due 4 to 6 weeks before your event date.
Some suppliers offer staged payments for large bookings: a smaller initial deposit, a second payment at the 3-month mark, and the balance before delivery. Check the cancellation terms carefully — policies vary between companies, and wedding insurance may cover some scenarios.
